Importing multiple entries into one shape

I need to import a phone list with Tasks, Names, Labor Categories and Billing Classes into an Org chart so that people with the same Labor Categories are listed together in one shape.

For example, I have approximately 100 people on the phone list. Fifteen of them work on Task 2 with 1 Manager, 6 Senior Techs and 8 Techs. I need to pull the Manager's name and phone number to one shape labelled "Task 2 Manager," the 6 Senior Techs and their contact information to another shape labelled "Task 2 Senior Tech," and the 8 Techs to a third.

This needs to be dynamic so that as people are transferred from one Task to another, our lists stay current.

Any suggestions would be greatly appreciated.
